A customer portal so the phone stays free

What a customer should see about their car, what stays internal, and why their login is not the shop's.

The call at eleven

«How is my car?» fills the counter when the answer is already on the order. If the customer can see the status, many of those calls do not happen. The ones that remain are the ones that need a person.

The portal is not the shop board with a shared password. The customer signs in on their own and sees their own car. Other customers' jobs should not be one click away.

What to show

Job status, the vehicle, and documents the shop marks as visible. An invoice, an accepted estimate, a photo if you choose to upload one. Anything not marked stays inside.

You do not have to enroll every customer on day one. Start with people who call often, or with jobs that last more than a day. Everyone else can keep using the phone.

What to keep back

Internal notes, margins, bay arguments, and parts that are not confirmed yet are not for the customer. If the portal says ready and the car is not, the next call is worse than the first.

The status has to match the order. If the counter says one thing and the sheet says another, the portal spreads the mistake. Get the status habit in place before you hand out access.

How to introduce it

Say it at drop-off or at handover: they can check the status here, without calling. Access nobody explains does not get used. Access explained once saves several calls.

The customer's session stays separate from the shop's. A document is visible only when you mark it. The counter still decides what not to promise.
