The digital repair order in an auto shop

One order per car, with a status and a technician, so the front desk and the bay read the same sheet.

One sheet, not three notes

When a car comes in, the front desk writes the reason, the plate, and who brought it. If that lives on paper and the technician keeps another list, the phone becomes the filing system. A digital order keeps the customer, the vehicle, and the job together.

The status has to be readable without asking. Waiting, in progress, done, or handed over is enough for whoever answers the call. The change stays on the order itself, not in a side chat.

Who opens it

The front desk opens the order with the real reason, not a generic «service». A clear job means fewer questions at mid-morning. The assigned technician is written on the sheet.

Not everyone has to edit at once. Everyone does have to read the same status. If only one person knows which bay the car is in, the shop depends on that person standing at the counter.

From the job to the invoice

The estimate and the invoice are cleaner when they start from the order. The vehicle, the customer, and the work are already there. Rewriting them by hand is where lines get lost.

At handover the order closes. The history is there for the next visit: what was done, and on which car. That memory is worth more than a box of last year's job cards.

Where to start

You do not need ten years of history on day one. Open orders for the cars in the shop today and the ones due this week. The habit comes from live work.

At the end of the day, look at which orders are still open and why. If a status is wrong, fix it before you leave. Tomorrow the counter starts from a sheet it can trust.
